We built an AI operating system that reclaims 2,100+ hours a year, so every hour goes to better client work
The work that matters most at The Sol Studio is human-led: developing strategy, building creative, thinking critically about a client's business, and showing up as a real partner. That's what clients pay for. That's what moves the needle.
But as we grew, operational overhead started eating into that time. Prospecting was scattered across tabs and spreadsheets. CRM updates were inconsistent. Client onboarding was a checklist in someone's head. Payment follow-ups fell through the cracks. SEO research happened when someone had a spare afternoon.
None of that work required human judgment, but it was consuming hours that should have gone to strategy, creative, and client delivery. We decided to eat our own cooking and build a production-grade agent team to take it all off our plate.
We designed an agent team architecture: not a single monolithic automation, but a network of specialized agents that each own one job and communicate through a shared data layer. Every agent writes structured output to Supabase, triggers downstream agents via n8n webhooks, and reports status to a central Watchdog.
The system was built for resilience from day one. Each agent has defined input schemas, output contracts, and failure modes. If Scout finds a bad signal, it gets filtered before it reaches Enrichment. If Payment can't resolve a status, it escalates rather than retrying silently. Watchdog monitors everything and can trigger recovery sequences autonomously.
We hardened the agent team in phases, starting with prospecting and CRM, then layering in onboarding, payments, reporting, and SEO. Each phase was tested against real operational load before the next was deployed.
Seven agents working in concert. Each one owns a single responsibility and communicates through structured data.
Monitors Reddit, LinkedIn, Indie Hackers, and niche forums for high-intent signals: founders asking about automation, agencies struggling with ops, creators hitting scale ceilings. Scores and routes qualified leads to enrichment.
Takes raw prospect signals from Scout and builds full profiles: company size, tech stack, decision-maker contacts, social presence, pain points. Writes structured records into the CRM with engagement recommendations.
Runs competitive keyword analysis, monitors SERP movements, and identifies content gaps. Generates weekly SEO briefs with target keywords, difficulty scores, and strategic recommendations tied to the sales pipeline.
Fires when a new client signs. Provisions project folders, creates Slack channels, generates onboarding checklists, sends welcome sequences, and populates the internal tracker with milestones and deadlines.
Monitors invoicing and payment status across all active clients. Sends reminder sequences at configurable intervals, escalates overdue accounts, and logs payment events back to the CRM for reporting.
Aggregates activity across every agent each morning: new prospects found, outreach sent, client deliverables completed, payments received, SEO movements. Delivers a single briefing so nothing slips through the cracks.
Monitors the health of every other agent in the agent team. Detects failures, stalls, and anomalies. Sends alerts with diagnostic context and can trigger automated recovery sequences to keep the system self-healing.
The agent team reclaims over 2,100 hours a year, and every one of those hours goes back to the work that actually matters: better strategy, more creative thinking, and more human, more attentive client delivery.
Prospects are discovered, enriched, and staged in the CRM before we open our laptops. New clients are fully onboarded (folders, channels, checklists, welcome emails) within minutes of signing. Payment follow-ups happen automatically. SEO briefs land weekly with zero research time. Every morning, a Daily Summary tells us exactly where everything stands.
The total cost runs under $500/month. Manual operational overhead dropped by 80%. The agent team is self-monitoring through Watchdog, flagging issues, recovering from failures, and logging everything for audit.
But the real result isn't efficiency for its own sake. It's that we now spend our days doing the strategic, creative, human-led work our clients hired us for, not wrestling spreadsheets, chasing invoices, or copy-pasting prospect data. The agents handle the machine work so we can show up as better partners.
This is the same architecture we deploy for clients. We built it for ourselves first because we believe the best proof of concept is a system you actually depend on every day.
